Uploading IAC Abstracts

You can upload abstracts for papers for the International Astronautical Congress (IAC) only on the IAF website at http://www.iafastro.net .

Uploading papers can be summarised as follows:

- Log in from the home page
- Click "My Papers"
- Click "Add new abstract"
- Enter the paper title and a short summary of 400 words
- Specify if you are a student or not
- Select the Symposium and Session in which you wish to post your abstract
- Click OK and check your abstract's preview in PDF format
- If you see the message "abstract successfully uploaded", it means that your abstract has been successfully added to the system
- Add your co-authors (maximum 4)
- Log out

If you haven't a log in, you may register for one from IAF home page.

How to Access the IAF website's "Restricted Area"

Type your username and password in the fields shown on the left of the http://www.iafastro.net website.

If in difficulties, click "Forgot your password?" and you will receive a reply to the email you provided while registering on-line the first time.

How to submit an abstract

Access your restricted area by typing your username and password in the provided fields.

You will then see a page containing at least two sections:

- "Authors page" which contains valuable information for those who are presenting a paper at the International Astronautical Congress.
- "My papers" which is provided to submit the abstracts (as well as manuscripts and presentations in a following step).

Please click on "My papers" to start the process of abstract submittal and then click on the "Add new abstract" section.

Fill in the fields with your paper title and copy the summary of your abstract (max 400 words).

If you are a student, please tick the checkbox "I am a student".

Choose the symposium and session for which you would like to submit your abstract and click "OK".

Once you are done with these steps, click on the "OK" button.

A pop-up window should open (enable pop-ups in your browser) with your abstract in PDF format. Please check all is correct in your abstract then close the window.

N.B.: When using special characters (e,g, "%" or formula please use the toolbox)

On the next page you should see a confirmation message:

"Abstract successfully uploaded".

Your abstract is now on the server.

Once you get this message you may log out (or continue if you are adding further authors).

How to add a co-author

Once your paper is on the server, at the left side of the confirmation page, click on "Manage co-authors".

Start typing your co-author's name, the full name should automatically appear in the field if this person is already registered. Click on the name of your co-author then click "add". Renew this process if you need to add more co-authors.

If you do not find your co-author in the list, you will have to create an account for them. Please click on "Register new" and complete the contact form (please do not forget to add a valid email address).

How to update your previously uploaded abstract

If you would like to update the title/content of your abstract, once you are logged into your restricted area, click on "My papers".

On the next page you will see your paper listed with its status. Click on your abstract's title.

To update your abstract click on "Edit abstract".

Glossary

- Congress Browser: an overview of the sessions for the next IAC and the abstracts submitted
- My papers: it lists all your submitted abstracts.
- View abstract (PDF): See your abstract in PDF format
- Download abstract (PDF): download your abstract in PDF format, obtaining the latest version in the correct format.
- Edit abstract: used to change/ update your abstract's title and content.
- Change Symposium/Session: should be used if you feel you submitted your abstract in the wrong session.
- Manage Co-authors: add the name of your co-authors (maximum 4 people).
- Delete a paper: remove your abstract from the system.
